event and volunteer coordinator

Summary

The Event & Volunteer Coordinator is a pivotal position in a number of the programs & events run across a number of the services within CCSRA. Specifically, they support a number of our managers through the coordination & direction of over 450 volunteers who engage in our sports ministry events, NBL1 game nights, & other key & ongoing events in the community.

ROLE description

Coordination

  • Development of volunteer teams who take a ‘hands on’ approach in our events calendar
  • Proactively coordinate a ‘big picture’ approach to how events are delivered through volunteers
  • Specific coordination of the following events:
    – On Mission Games sports ministry events (State Youth Games, Edge Camp, etc.)
    – NBL1 Home Game night experience
    – Additional NBL and WABL events
    – Sponsors and Partner events
    – Community Engagement calendar of events
    – Basketball Australia U16 National Championships in 2022 & 2023

Administration

  • Oversee & maintain the volunteer database
  • Confirm internal & external bookings for events
  • Coordinate logistics and operation of events which includes troubleshooting
  • Directing & creating appropriate process
  • Regular communication to volunteer teams
  • Manage compliance involved with each event or program (e.g. risk assessments)
  • Reports as required

Other

  • Take a proactive approach in fostering a 3rd place community within the volunteer community
  • Attendance at regular events recognising that some events require work outside of normal business hours
  • Additional tasks as required from time to time

selection criteria

  • Effective organisation & time management skills with the ability to prioritise tasks during peak times of activity
  • Experience in coordination of events & those where volunteers are engaged on an ongoing basis.
  • Experience in planning events, projects, or activities with a high attention to detail
  • High interpersonal skills to engage with volunteers & a range of other stakeholders
  • Ability to work collaboratively with a range of internal & external teams
  • Ability to support the mission and values of CCSRA
